2-7-07 Chatlog teacher says to (19:56): the webcast froze and we were not able to listen....we do not have all of the power point and we have a question on how to exit the survey if there is no contact available? Admin says (19:56): All of the ppt is there, the scenarios show which pages are used. At the bottom of the page is a pdf file with all pages of the survey. If you have a student and you have no information on the student other than the student name, testing #, and state id #, then you would put in the comment box, unable to contact, and the reason to check on the form is unable to contact, and hit submit high school says to (19:58): This information seems to be the same survey that Career and Technical education departments are completing for their students. Has any thought been given to sharing data to prevent duplicated calls home. Admin says (19:58): This has been a question in the past, and I would recommend coordinating with them to avoid duplicate calls. On their database there’s no way to tell if someone is on IEP. high school says to (20:00): Will we receive an "end of the year report" from the VDOE (i.e. the list of leavers from our county) or do we have to generate that report? Admin says (20:00): Your IT dept. in your division generates this report. You'll need to make sure it contains the most recent list of 2005-06 school leavers. high school says to (20:01): When does the local school contact/representative receive the passcode? Admin says (20:01): All passcodes will be distributed by the end of Feb. but I need the total # of students that you will attempt to contact off of your end of year report before passcodes are provided. high school says to (20:02): How will unsuccessful contacts (unable to contact after 4 attempts) be computed in the school division's percentage for Indicator 14? Admin says (20:02): That's a good question. I suspect we will get more guidance from the Fed. govt about this and a decision will be made how the data will be reported by VDOE. high school says to (20:02): Who gets the passcodes for each school district Admin says (20:02): We are sending them directly to directors of special education in each school division. teresa s says to (20:04): The instruction seemed clear to me. I am missing Survey-Page 4 for some reason. I will print it out again later. Admin says (20:04): The survey form that I used in each scenario will miss some pages, that is because the form is designed to move through the survey based on responses to questions. However, all pages are available on the webpage at the bottom as a pdf file. teacher says to (20:04): Will we contact all leavers or a % of the leavers from our division? Admin says (20:04): You will be contacting all school leavers. teacher says to (20:06): Do you have to login each time you input data on students or are we able to move from one student to another with doing so? Admin says (20:06): The final web based form that you will be using will allow you to move from one student interview to the next without having to login. teacher says to (20:09): What are some suggestions that you would have on how to coordinate the "logistics" of doing this task (example: getting phone numbers, personnel to do this).? Any ideas would be appreciated! Admin says (20:09): During the training that Marianne Moore and I did across the state we provided a worksheet on preparing for Indicator #14, we will post this for your use in the archive. The school divisions are determining who is involved in calling and organizing info. We will provide information in the TA packets on ideas for organizing information. I know that some school divisions are having teachers involved in the calling, doing this. high school says to (20:11): Will you be providing school divisions with a letter to send to the families as an introduction/preparation to anticipate a survey contact from the school? Admin says (20:11): We can provide samples and will be in the TA packet. teacher says to (20:12): Did I understand correctly that the support materials on the DOE and T/TAC website will include "definitions" or guidelines for determining what comprises competitive employment and postsecondary involvement? Admin says (20:12): This information will be directly on the form. Definitions will pop up on the final form. high school says to (20:13): is the student identifier number, the student's ssn?? Admin says (20:13): No, it is not the student's ss #. It is the state testing ID # that each student receives from the state. This # must be used for us to run demographic information. high school says to (20:14): Does each person putting in data get a login and password? Who do we send the names to for the login and password? Admin says (20:14): We are sending 1 login password to each school division. Special Ed directors will receive the password. teacher says to (20:15): Where do we get the TA packet? Admin says (20:15): The TA packet will be sent to Special Ed. Directors along with the passcode information. teacher says to (20:15): Can teachers earn continuing education credits for conducting the survey? Admin says (20:15): This is a school division decision. teacher says to (20:17): If we are unable to make contact with the student (leaver with adult rights) do we need to get a release signed in order to survey family members or others? Admin says (20:17): No. It is my understanding from other states and school divisions in VA doing post school follow-up, that permission is not required. Remember we are telling people participation is strictly voluntary teacher says to (20:19): Will the data be compiled into a report that will be available to (whom)? Admin says (20:19): The VDOE will report state wide data to the Fed govt on Feb 1, 2008. The VDOE will determine how school division reports will be compiled. The Fed govt requires that all information is public except in very small school divisions. teacher says to (20:22): When will the final surveys need to be completed and submitted? Admin says (20:22): The surveys must be completed between April 1 and Aug 31, 2007.
